Connected accounts
See every Google, Meta and vendor account SmileLine is signed in to, whether each one is working, and what happens when one stops.
Settings → Connected accounts lists every external account SmileLine holds a sign-in for — ad platforms, Google Business Profile, Search Console, inbox channels, your practice management system and your phone provider — with the health of each one. Each account carries its provider's logo and a coloured status, the top of the page counts your accounts by status, and anything that needs you is listed first.
The page is read-only. Each row links through to the page that owns that connection, where the Connect, Reconnect and Disconnect buttons live.
Why there is more than one Google (and more than one Meta)
A practice thinks of it as "our Google account", but SmileLine signs in to Google four separate times — once for Google Ads, once for Google Business Profile, once for Search Console, and once for a connected Gmail inbox. Meta is similar: one Meta app, but ads and the inbox are granted separately.
This is deliberate, and it is in your favour:
- Each product asks only for what it needs. Connecting Google Ads never asks for access to your email.
- Disconnecting one never touches the others. Smileline only forgets its own copy of a sign-in; it never asks Google or Meta to revoke it (a Google revocation would end every Smileline sign-in for that Google account at once). Disconnecting your inbox cannot take your ad reporting down with it. To withdraw access on the provider's side, remove Smileline from your Google or Meta account settings.
- One problem stays one problem. If Search Console access lapses, ads keep running.
The cost is that you sign in more than once. This page is where you see all of them at a glance.
What each status means
| Status | What it means |
|---|---|
| Connected | Working. Nothing to do. |
| Connecting | Set-up is still finishing. |
| Expires soon | Still working, but the provider ends this access on a known date. Reconnect before then. |
| Needs attention | Smileline can no longer reach the account, the access has already expired, or the last thing Smileline tried against it failed. The row shows the reason. |
| Not connected | No sign-in, or it was disconnected. |
Every row follows the same rule: a connection that is still switched on but whose last sync, send or registration recorded a fault reads Needs attention with that fault as the reason, and so does one whose access has already expired ("Access expired — reconnect"). Meta rows (WhatsApp, Messenger, Instagram and comments) read Expires soon from the earlier of the grant's token expiry and Meta's 90-day data-access expiry; ad platforms from the expiry they reported when you connected. Google Ads never reads Expires soon: its grant has no published end date, and the one-hour access token Smileline refreshes in the background is not the grant. Google Business Profile reads Needs attention when Google lists no location for any account on the connection, and when live review notifications could not be set up for an account (reviews still arrive on the daily sync).
When a connection breaks
Owners and managers are emailed as soon as an ad connection stops working — you do not have to be looking at the page. That email cannot be switched off in notification preferences, because a broken ad connection can hold incoming leads.
If leads were held while the connection was down, the email says how many and by when you need to reconnect to recover them. Reconnecting imports them automatically — there is nothing to replay by hand.
Most problems are temporary — a provider being briefly unreachable, or a rate limit. SmileLine retries those on its own and clears the status once a request succeeds, so a connection that says Needs attention may fix itself. A connection only needs you when the provider has actually withdrawn access, and the reason shown on the row says which case you are in.
Reconnecting
Click Reconnect on the row and complete the provider's sign-in. Finish the sign-in in the same browser you started it from: if you were signed out of Smileline in the meantime, or a different Smileline account is signed in when the provider sends you back, the connection is refused ("denied") and nothing is stored — sign in and click Connect again. For ad platforms, everything picks up where it left off:
- Ad accounts and lead forms that were switched off by the disconnect are switched back on. Anything you turned off yourself stays off.
- Your form field mappings are kept.
- Leads that arrived while the connection was down are imported.
Disconnecting Google Business Profile
Google Business Profile is one sign-in shared by two features: review syncing and replies, and scheduled Google Business Profile posts under SEO. Disconnecting it stops both.
